This guide shows, step by step, how to replace each separate software (business software, CRM, POS system, document management, cloud storage) by doing everything inside ERP Instfy, with centralized security and backup.

## 1. Centralize customers and sales

Instead of a standalone CRM, you keep leads, deals and sales history in one record connected to your accounting.

**Menu path:** *CRM > Leads and Sales > Deals*

<ol class="steps">
<li>Open <strong>CRM > Leads</strong> and click <strong>+ Create</strong> to add a contact with name, email and source.</li>
<li>Go to <strong>Sales > Deals</strong> and click <strong>+ Create</strong>, linking the deal to the lead.</li>
<li>Enter the <strong>Value</strong> and <strong>Expected date</strong> and click <strong>Save</strong>.</li>
<li><strong>Drag the card</strong> across the pipeline to the <strong>Won</strong> column as the sale advances.</li>
<li>Open the card and log every contact in the <strong>Notes</strong> tab to keep the history.</li>
</ol>

:::tip
Always fill in the lead **Source**. That field is what shows, on the dashboard, which channels generate the most customers.

## 2. Run your finances

Replace the spreadsheet and accounting software by posting income, expenses and reports directly in ERP Instfy, already tied to your sales.

**Menu path:** *Accounting > Entries*

<ol class="steps">
<li>Open <strong>Accounting > Entries</strong> and click <strong>+ Create</strong>.</li>
<li>Choose the type <strong>Income</strong> or <strong>Expense</strong> and select the <strong>Category</strong>.</li>
<li>Fill in <strong>Amount</strong>, <strong>Date</strong> and link it to the <strong>customer</strong> or supplier.</li>
<li>Click <strong>Save</strong> so the entry enters your cash flow.</li>
<li>Go to <strong>Accounting > Reports</strong> and generate the <strong>P&L</strong> or trial balance for the period.</li>
</ol>

## 3. Sell at the counter

Skip the separate POS system: ring up in-person sales through ERP Instfy's own POS, with stock and cash register updated instantly.

**Menu path:** *POS > New sale*

<ol class="steps">
<li>Open <strong>POS > New sale</strong> and confirm the day's <strong>register</strong> is open.</li>
<li>Search the <strong>product</strong> by name or code and add it to the cart.</li>
<li>Adjust the <strong>quantity</strong> and apply a <strong>discount</strong> if needed.</li>
<li>Choose the <strong>payment method</strong> (cash, card, transfer) and click <strong>Finish</strong>.</li>
<li>Click <strong>Print/Send receipt</strong> for the customer.</li>
</ol>

## 4. Store documents and files

Swap external cloud storage for the ERP Instfy library: contracts, invoices and images stay organized and accessible by permission.

**Menu path:** *Media library*

<ol class="steps">
<li>Open <strong>Media library</strong> and click <strong>+ Upload</strong>.</li>
<li>Select the file from your computer or drag it into the upload area.</li>
<li>Pick or create a <strong>Folder</strong> to organize by type (contracts, invoices, marketing).</li>
<li>Add <strong>tags</strong> so you can find it later through search.</li>
<li>Click <strong>Save</strong> and use <strong>Share</strong> to generate a controlled link.</li>
</ol>

:::tip
Standardize folder names by area. Well-organized documents remove the need for a separate storage service.
:::

## 5. Control access and security

No scattered password manager: you decide who sees and does what through role and permission control, strengthening cybersecurity.

**Menu path:** *User management > Users and Roles*

<ol class="steps">
<li>Open <strong>User management > Roles</strong> and click <strong>+ Create</strong> to define a role (e.g. Salesperson, Finance).</li>
<li>Check the <strong>permissions</strong> for each module the role can access.</li>
<li>Go to <strong>User management > Users</strong> and click <strong>+ Invite</strong>.</li>
<li>Fill in <strong>Name</strong> and <strong>Email</strong> and assign the <strong>Role</strong> you created.</li>
<li>Click <strong>Save</strong>. The user gets the invite with access only to what they need.</li>
</ol>
