This guide walks you through the exact steps to improve cash flow in ERP Instfy: issue invoices with due dates, record payments received, chase overdue accounts receivable, control accounts payable, and plan your working capital. Each task closes the gap between a sale and cash in the bank, protects your profit margin, and keeps cash positive by clearing unpaid invoices.

## 1. Issue the invoice with a due date

A sale only becomes cash once it is billed with a clear payment deadline.

**Menu path:** *Sales Invoice*

<ol class="steps">
<li>Open <strong>Sales Invoice</strong> and click <strong>+ Create</strong>.</li>
<li>Select the <strong>Client</strong>.</li>
<li>Add the <strong>Items</strong> (product or service, quantity, price, tax).</li>
<li>Set the <strong>Issue date</strong> and the <strong>Due date</strong>.</li>
<li>Review the <strong>Total</strong> and click <strong>Save</strong>.</li>
<li>The invoice enters accounts receivable with the due date you set.</li>
</ol>

:::tip
Standardize your due dates (for example, 15 or 30 days) so you can forecast cash more accurately and collect without arguing over the deadline.
:::

## 2. Record the payment received

Issuing the invoice does not mark it as paid; record the payment so the receivable balance reflects reality.

**Menu path:** *Sales Invoice*

<ol class="steps">
<li>In <strong>Sales Invoice</strong>, open the invoice that was paid.</li>
<li>Click <strong>Add payment</strong>.</li>
<li>Enter the <strong>Amount</strong> received and the <strong>Date</strong> of the payment.</li>
<li>Choose the <strong>Account</strong> or payment method that received the funds.</li>
<li>Click <strong>Save</strong>. The status changes to <strong>Partially paid</strong> or <strong>Paid</strong>.</li>
</ol>

## 3. Find and chase overdue invoices

Overdue invoices tie up your working capital; find them every day and chase from the oldest to the newest.

**Menu path:** *Sales Invoice*

<ol class="steps">
<li>Open <strong>Sales Invoice</strong>.</li>
<li>In the <strong>Status filter</strong>, select <strong>Overdue</strong>.</li>
<li>Sort by <strong>Due date</strong> to see the most overdue first.</li>
<li>Open each invoice and use <strong>Send by email</strong> to chase the client.</li>
<li>When paid, go back and record the payment (task 2).</li>
</ol>

:::tip
Chase overdue invoices on a fixed routine, once a week. Consistent reminders collect more than a single late email.

## 4. Control accounts payable

Cash also depends on knowing what you owe; register every purchase and pay on time, not early.

**Menu path:** *Purchase*

<ol class="steps">
<li>Open <strong>Purchase</strong> and click <strong>+ Create</strong>.</li>
<li>Select the <strong>Vendor</strong> and add the <strong>Items</strong>.</li>
<li>Set the <strong>Due date</strong> of the payable and click <strong>Save</strong>.</li>
<li>When you pay, open the purchase and click <strong>Add payment</strong>.</li>
<li>Enter the <strong>Amount</strong>, the <strong>Date</strong>, and the <strong>Account</strong>, then click <strong>Save</strong>.</li>
</ol>

## 5. See income vs expenses

Compare what comes in against what goes out to spot your cash cushion before you run short.

**Menu path:** *Dashboard > Account*

<ol class="steps">
<li>Open the <strong>Dashboard</strong> and select the <strong>Account</strong> tab.</li>
<li>Choose the <strong>Period</strong> you want to analyze.</li>
<li>Read the total <strong>Income</strong> next to the total <strong>Expenses</strong>.</li>
<li>Check the resulting <strong>balance</strong> and note any month where expenses exceed income.</li>
</ol>

## 6. Plan your cash

Setting cash targets and comparing them to actuals keeps real spending from drifting off plan.

**Menu path:** *Budget Planner*

<ol class="steps">
<li>Open the <strong>Budget Planner</strong> and click <strong>+ Create</strong>.</li>
<li>Choose the <strong>Period</strong> and the income or expense <strong>Category</strong>.</li>
<li>Enter the <strong>Planned amount</strong> for each category and click <strong>Save</strong>.</li>
<li>Through the month, compare <strong>planned</strong> against <strong>actual</strong> on the same screen.</li>
<li>Adjust spending in the categories that went over plan.</li>
</ol>
