This guide walks you through the steps inside ERP Instfy. Terms you already know from marketing - local SEO, Google Business Profile, landing page, email marketing, and marketing automation - show up here applied in practice. Be honest about what the tool does: ERP Instfy is not an ads manager and does not buy traffic for you. It runs the back office of marketing: it captures, organizes, nurtures, and measures every lead.

## 1. Create a capture form

The form is the capture point that connects your landing page to the CRM. Every submission becomes a lead automatically, with no copy and paste.

**Menu path:** *Form builder*

<ol class="steps">
<li>Open <strong>Form builder</strong> and click <strong>+ Create</strong>.</li>
<li>Give it a <strong>name</strong> that identifies the source, such as "Website contact" or "Launch landing page".</li>
<li>On the <strong>Fields</strong> tab, add only the essentials: <strong>Name</strong>, <strong>Email</strong>, and <strong>Phone</strong>. Keep required fields to a minimum.</li>
<li>Click <strong>Publish</strong> and copy the <strong>Public link</strong> or the <strong>Embed code</strong>.</li>
<li>Paste the embed on your landing page, or share the link on social media and WhatsApp.</li>
<li>Test it in an incognito tab to confirm the submission arrives.</li>
</ol>

:::tip
Use form names that reveal the campaign, like "Quote - Instagram" or "Newsletter - footer". That way you know which channel each lead came from without opening the form.

## 2. Receive and organize the leads

Every form submission lands in the CRM as a lead. This is where you centralize contacts, tag the source, and decide who to contact first.

**Menu path:** *CRM > Leads*

<ol class="steps">
<li>Open <strong>CRM</strong> and go to <strong>Leads</strong>.</li>
<li>Review the new leads that arrived through your forms, with date and submitted details.</li>
<li>Open a lead and record the <strong>source</strong> (organic search, Google Ads, Facebook Ads, referral).</li>
<li>Set the funnel <strong>stage</strong> and the <strong>owner</strong> responsible for contact.</li>
<li>Add a <strong>note</strong> with the next step so no follow-up slips.</li>
</ol>

## 3. Set up email for sending

Before you follow up by email, ERP Instfy needs a sending server (SMTP) and ready-made templates. Configure this once and reuse it every time.

**Menu path:** *Settings*

<ol class="steps">
<li>Open <strong>Settings</strong> and find <strong>Email (SMTP)</strong>.</li>
<li>Fill in the <strong>host, port, username, password, and sender</strong> from your provider.</li>
<li>Use the <strong>test send</strong> button to confirm email goes out correctly.</li>
<li>Go to <strong>Email templates</strong> and create reusable templates: welcome, re-engagement, and proposal.</li>
<li>Save the templates with clear names so you can find them at follow-up time.</li>
</ol>

:::tip
Configure and test SMTP early. Many ERP Instfy features depend on email, and a follow-up that never sends is a lost lead.
:::

## 4. Follow up and nurture

Nurturing means following up at the right moment with the right message. Use the email templates to reply fast and keep the lead warm until they buy.

**Menu path:** *CRM*

<ol class="steps">
<li>In the <strong>CRM</strong>, open the lead that needs contact.</li>
<li>Choose the <strong>email template</strong> that fits the stage (welcome, re-engagement, or proposal).</li>
<li>Personalize the text with the lead's name and interest before sending.</li>
<li>Send it and log the interaction in the lead's history.</li>
<li>Update the funnel <strong>stage</strong> and schedule the next follow-up.</li>
</ol>

## 5. Local SEO checklist

Showing up in Google Maps and the "near me" results happens outside the ERP, but every call or click it generates should flow back into the CRM. Take these concrete actions.

<ol class="steps">
<li><strong>Claim and verify your Google Business Profile</strong> - the biggest factor in Maps ranking.</li>
<li><strong>Collect reviews continuously</strong> - ask every happy customer and reply to every review.</li>
<li><strong>Keep your NAP consistent</strong> - the same Name, Address, and Phone on your site, profile, and every directory.</li>
<li><strong>Add photos and the right category</strong> - they help Google understand and rank the business.</li>
<li><strong>Bring the lead back into ERP Instfy</strong> - when a Maps click becomes a contact, add them under <em>CRM &gt; Leads</em> right away.</li>
</ol>

## 6. Measure the results

Measure which channel brings leads that close so you invest in what works. The CRM dashboard gathers these numbers.

**Menu path:** *Dashboard > CRM*

<ol class="steps">
<li>Open <strong>Dashboard</strong> and select the <strong>CRM</strong> view.</li>
<li>See <strong>lead volume</strong> by period and by source.</li>
<li>Track <strong>conversion</strong> by funnel stage.</li>
<li>Compare channels to spot the highest-return one.</li>
<li>Adjust where you invest based on cost per closed deal.</li>
</ol>
