How to improve cash flow in ERP Instfy
Get paid faster, control what you owe, and see your cash in real time, all inside ERP Instfy.

This guide walks you through the exact steps to improve cash flow in ERP Instfy: issue invoices with due dates, record payments received, chase overdue accounts receivable, control accounts payable, and plan your working capital. Each task closes the gap between a sale and cash in the bank, protects your profit margin, and keeps cash positive by clearing unpaid invoices.
1. Issue the invoice with a due date
A sale only becomes cash once it is billed with a clear payment deadline.
Menu path: Sales Invoice
- Open Sales Invoice and click + Create.
- Select the Client.
- Add the Items (product or service, quantity, price, tax).
- Set the Issue date and the Due date.
- Review the Total and click Save.
- The invoice enters accounts receivable with the due date you set.
Standardize your due dates (for example, 15 or 30 days) so you can forecast cash more accurately and collect without arguing over the deadline.
2. Record the payment received
Issuing the invoice does not mark it as paid; record the payment so the receivable balance reflects reality.
Menu path: Sales Invoice
- In Sales Invoice, open the invoice that was paid.
- Click Add payment.
- Enter the Amount received and the Date of the payment.
- Choose the Account or payment method that received the funds.
- Click Save. The status changes to Partially paid or Paid.
3. Find and chase overdue invoices
Overdue invoices tie up your working capital; find them every day and chase from the oldest to the newest.
Menu path: Sales Invoice
- Open Sales Invoice.
- In the Status filter, select Overdue.
- Sort by Due date to see the most overdue first.
- Open each invoice and use Send by email to chase the client.
- When paid, go back and record the payment (task 2).
Chase overdue invoices on a fixed routine, once a week. Consistent reminders collect more than a single late email.
4. Control accounts payable
Cash also depends on knowing what you owe; register every purchase and pay on time, not early.
Menu path: Purchase
- Open Purchase and click + Create.
- Select the Vendor and add the Items.
- Set the Due date of the payable and click Save.
- When you pay, open the purchase and click Add payment.
- Enter the Amount, the Date, and the Account, then click Save.
5. See income vs expenses
Compare what comes in against what goes out to spot your cash cushion before you run short.
Menu path: Dashboard > Account
- Open the Dashboard and select the Account tab.
- Choose the Period you want to analyze.
- Read the total Income next to the total Expenses.
- Check the resulting balance and note any month where expenses exceed income.
6. Plan your cash
Setting cash targets and comparing them to actuals keeps real spending from drifting off plan.
Menu path: Budget Planner
- Open the Budget Planner and click + Create.
- Choose the Period and the income or expense Category.
- Enter the Planned amount for each category and click Save.
- Through the month, compare planned against actual on the same screen.
- Adjust spending in the categories that went over plan.
